Cash Register
The store process will remain the same, but once payment is taken you will need to open the SPM Cash Management v2 spreadsheet located in SPM Admin -> Cash Management dropbox
Glossary:
- Incoming – Cash being input into register
- Outgoing – Cash being withdrawn out register
- Description/OrderID – WooCommID or description of action
- Float – This should be how much money is currently in the register. It should never dip below $400
- Entered By – Name of who took the money
- Banked – Has the money been deposited
- Banked Date – When was it banked?
Incoming Process
Payments will be entered in the Incoming column, this will cause the Float column to update automatically. All you need is the WooCommerce Order ID so that we are able to track the payment coming in. Ensure that you mark who took the money (Entered By) and if they money has been banked. If not, the float should grow as we get more payments in.
Outgoing Process
There are only two reasons now for money to exit the Cash Register, this is to be deposited or for change.
If a customer requires change, you will provide them with what you can out of the Cash Register first, and then Petty Cash if need be. If you take from two different boxes, ensure that you mark down what was taken from either and update BOTH sheets accordingly. Mark down how much change was given in the Outgoing column and use the description “Change for customer”, Float will update automatically.
When it comes time for the money to be banked, someone will take the money from the Cash Register box and deposit it into the bank account. The MUST bring back the deposit receipt, write their name on it, and return it into the Cash Register box.
From there the owner of the process will take the receipt, and mark the total amount of what has been deposited in the Outgoing column, this will cause the Float to update automatically. The description of the task will be “Bank Deposit”, and then make sure that anything that is considered unbanked (“No” in the Banked column) to change to “Yes”.
Things to note
Float MUST NOT dip below $400, if this does happen (and it will show up in red as shown below), Mike must be notified ASAP;
